Distinguish physical keys and access codes
Apartment keys, building entrance access and key-box codes are different items. Establish which door each opens and whether there is a spare. Do not put real codes or detailed entry instructions in the public enquiry form or text intended for the listing.
Agree how LIVIA will receive the keys
Discuss a practical owner-to-LIVIA handover, such as on site, at the office or by post. Confirm the recipient, place, necessary timing and tracking if sending them. Dispatch is not proof of receipt, so confirm arrival rather than treating both states as complete.
Prepare separate access instructions for workers
The person handling first cleaning or inspection also needs an agreed way to enter. LIVIA receiving the keys does not mean the same information is distributed to everyone. Access instructions should match the assigned person and the work they need to perform.
Test the physical lock and storage arrangement
After installing a key box or changing its code, test opening and closing it on site. Saving a number on screen does not change the physical device. Record the storage and return arrangement so the location of the keys remains clear after the work.
Report lost keys or failed access promptly
Tell LIVIA if a key is missing, a code fails or access equipment does not work. Do not circulate codes to unrelated people or damage equipment to gain entry. Confirm the cause and response, with costs handled under the contract, facts and agreed responsibilities. Include the property name and whether the issue is a lost key, an incorrect code or faulty equipment so LIVIA can identify the next step.
Complete the handover after personal use too
After owner use or maintenance, confirm return, storage and the current state of access. Do not forward an old email’s code to a new user; use the current authorized instructions. Include keys, loaned items and access rights in any eventual end-of-contract handover.
