Record what already exists
Begin the inventory by separating existing owner belongings, missing furniture and items LIVIA would need to provide. Owner-provided furniture uses an 85% owner / 15% LIVIA allocation; LIVIA fully funding the mutually agreed furniture uses 70% / 30%. These percentages apply to collected sublease rent, including additional-occupant rent, rather than the guest’s entire payment.
Record existing beds, tables, chairs and storage with quantities, condition, ownership and photos, checking what can be reused. LIVIA arranges Wi-Fi equipment and connection preparation.
Separate missing from damaged
A missing chair and an existing broken chair need different decisions. Record missing items, faults, marks and usable condition instead of only saying “furnished.” Do not assign blame without evidence. Initial photos provide a baseline for later repair and departure reviews.
Agree procurement before ordering
Before ordering, both parties agree the items, quantities and locations covered by the LIVIA-funded inventory. LIVIA pays for and owns those items and retrieves them when the agreement ends; their purchase cost must not be charged to the owner or deducted from proceeds. Existing owner furniture stays theirs. Building repairs and equipment outside that inventory require separate responsibility and budget decisions.
Distinguish covered furniture from separate costs
Do not deduct covered LIVIA-plan furniture again as procurement or an advance. For building repairs or additional work outside the plan, link agreed items, amounts and evidence to the statement.
Confirm the result on site
After delivery, check quantity, location, operation and completion photos. Bought does not mean installed; powered on does not prove every function works. LIVIA verifies the completed condition before presenting equipment to residents, helping prevent a listing from promising items that are not actually available.
Supplies are limited service items
Toilet paper, waste bags, detergent and sponges can be provided during preparation, but they are a limited service supply, not an unlimited guarantee. Residents follow the rules for purchasing replacements when supplies run out. Record replenished items, quantities and amounts so service and costs remain clear.
