Establish the initial baseline
The first letting has no previous resident’s departure record. Confirm the agreement and access arrangements, then record initial condition separately from routine turnover cleaning. Save existing marks, missing items and damage before the first resident arrives rather than trying to reconstruct the baseline afterward.
Separate the two key handovers
Distinguish the owner handing keys to LIVIA from LIVIA giving access to the worker. Agree on-site, office, postal or other arrangements, including location and timing. Physical keys and key-box codes are different records. Codes must not appear in public advertisements or unrelated recipients’ notices.
Make the worker identifiable
An assigned partner or LIVIA staff may carry out initial preparation. Record room condition before and after work, the key code and an opening/closing check, then report completion. Do not add work merely to photograph a code or require an invoice when no expense exists. Expense discussions and consent are managed separately from work progress.
Check equipment and safety on site
Review furniture, appliances, Wi-Fi, lighting, water systems and necessary safety checks. Record the location, photos and next action for faults. Follow-up repairs need a responsible person and schedule. Do not call the home ready while unresolved work still materially affects safe use or move-in.
Post usable instructions near the entrance
Waste sorting and collection times must match the municipality and building. Put house rules and Wi-Fi instructions where residents can find them. Japanese, English and Traditional Chinese can help, but translated generic guidance does not replace verified local waste rules or actual equipment instructions.
Listing is not proof of readiness
Publication, accepting a booking and confirming entry are distinct states; use site records to check actual preparation. Furniture purchases, repairs, shared costs, advances and payment methods remain ongoing discussions between LIVIA and the owner, rather than being confined to the initial job. A pending discussion alone does not stop unrelated work, and unagreed expenses are not treated as authorized deductions.
At handover, match the furniture inventory to the items on site. Mark covered LIVIA-funded items as LIVIA-owned so their collection can be arranged when the agreement ends; their purchase cost is not separately billed to the owner. Record existing owner furniture, building repairs and other agreed expenses separately instead of reporting every purchase as an advance recoverable from the owner.
