Use LIVIA as the shared contact point

Residents can contact LIVIA about equipment or use of the home through their portal and other provided channels. Separate instructions from the owner can create conflicting explanations about dates or costs. If a resident contacts you directly, share the property and issue with LIVIA so the response stays consistent.

Explain location, condition and impact

“There is water” does not establish whether there is a leak or ordinary drainage. Identify the room and equipment, when the issue started, what is happening and its effect on use or safety. Add photographs where practical so the report can be compared with the initial condition record.

Prioritize safety where danger is immediate

For immediate danger involving fire, injury or leaking water, prioritize safety and contact the appropriate emergency service. Do not remain somewhere dangerous while waiting for a portal reply. Follow up with LIVIA and keep a record; urgent protection is different from an ordinary estimate discussion.

Agree ordinary repairs and responsibilities

For non-urgent repairs, confirm the condition, estimate, person responsible and cost allocation before proceeding. Age-related deterioration, pre-existing damage and resident-caused damage are not interchangeable. Photographs alone do not establish liability; connect costs to the contract and verified facts.

Record noise and waste complaints clearly

For a neighbor’s concern, record the time, place and specific issue, and compare it with the building rules and posted instructions. Do not circulate residents’ or neighbors’ personal information unnecessarily. Coordinate any warning or response through LIVIA rather than deciding from secondhand descriptions alone.

Separate resolved work from settled costs

After repair or cleaning, confirm the corrected condition and actual expense. A completion report is not the same as consent to a cost allocation or a completed transfer. Link recurring issues to the earlier record and keep clear which questions the owner has already answered.
